Convocation Guidelines & Instructions

Please read through these important guidelines carefully to ensure you are well-prepared for the ceremony.

Security Deposit & Gown Requirements

  • Security Deposit: All degree recipients attending the Convocation must deposit a refundable security of Rs. 1000/- towards the cost of Convocation Gown to be paid ONLINE only till October 14, 2025.
  • Gown Collection: The Gown will be issued only on October 15-16, 2025 at the Registrar Office (Badminton Court), after producing the fee receipt of Rs. 1000/- paid online for Gown. On the day of Convocation, the gowns will not be issued.
  • Refund Process: After the completion of the Convocation proceedings, the degree recipients will return the gown at the Registrar Office (Badminton Court) and after verification the security amount of Rs. 500/- will be refunded ONLINE to the degree recipients in their bank account through RTGS/IMPS etc. after deducting the rental changes of Rs. 500/- (Degree recipients will provide the details (during the registration) of the Bank Account in which the refund to be deposited).
  • Alternative Option: Those who are unable to attend the convocation and want to receive their Degree by post, Click on “DEGREE BY POST” section of “STUDENT” drop down menu in university website (www.shuats.edu.in)

Academic Dress Code & Gown Instructions

  • Ph.D. Programme: Purple Hood and Black Gown
  • Masters Programme: Yellow Hood and Black Gown
  • Undergraduate Programme: Red Hood and Black Gown
  • Entry Requirements: Degree Recipients will enter in the Convocation Hall wearing Gown & Hood. Entry will be allowed only on producing ENTRY PASS, issued by Registrar's Office.

Registration & Reporting Instructions

  • Online Registration: All eligible Degree Reciepents needs to register ONLINE for the Convocation in the University website latest by October 14, 2025.
  • Reporting Time: Degree Recipients will report at Convocation Hall on October 17, 2025 - 09:00 AM sharp in proper dress code and gown.
  • Required Documents: Report to Convener, Degree Recipients Committee in the Registrar Office (Badminton Court) for detailed instructions, along with two coloured stamp size photographs for convocation ID Card and Online Fee Reciept for gown on October 15-16, 2025 and collect the Convocation gown.
  • Entry Pass: Bring this invitation letter along with the Entry Pass. The Entry Pass shall be available to you once you register for the Convocation. Entry in the Convocation Hall shall be allowed only after showing the Entry Pass.
  • Student Volunteers: Take the help of Student Volunteer(s) for guidance and assistance throughout the ceremony.

Seating Arrangement & Ceremony Protocol

  • Seating Guidelines: Follow the layout of the Convocation Hall. Student volunteer(s) will guide you to find your designated seat. Occupy your seats and do not move anywhere on your own until you are asked to do so.
  • Special Seating: Special Seating: Seating arrangement for Ph.D. degree recipients and Gold Medal recipients of all programmes will be in the first block. List of medal holders will be available through our website (www.shuats.edu.in) after September 24, 2025.
  • Degree Conferment: Follow the order as per the Proceedings of 14th Convocation. You will be asked to stand up when Degrees will be conferred by Hon'ble Vice Chancellor.
  • Stage Protocol: Only Ph.D. degrees will be distributed from the stage. Movement of Recipients towards the stage for receiving Ph.D. degrees will be guided by volunteer(s). After receiving your Ph.D. degree, take your designated seat quietly.

Medal & Degree Distribution

  • Gold Medal Recipients: Name of the Medal recipients will be called as per the List. Staff and Student Volunteer(s) will be there with you for your assistance. You will go on the Stage and will receive Medals.
  • Photography: Only official photographer will take photographs during the medal and degree distribution ceremony.
  • Other Degrees: Degree recipients for all Undergraduates and Postgraduates programmes will receive their degrees and merit certificates from the office of their respective School Dean, after the convocation by producing their photo bearing Entry Pass.
  • Personal Collection: If you want to receive the Degree personally after the convocation, you may visit SHUATS any time and receive your degree from the office of the concerned Dean / counter of the Registrar's Office.

Accommodation & Personal Arrangements

  • Accommodation: All degree recipients will have to make their own arrangements for boarding and lodging. The University will not bear any expenses incurred by the candidate for attending the Convocation.
  • Hall Protocol: Don't stand anywhere in the Hall or do not leave the Hall during the ceremony. You may leave the Hall only after the Convocation Proceedings are over.
  • Ceremony Decorum: Maintain sanctity of the Convocation throughout the proceedings.
  • Required Documents: Please bring Gate Pass and Instructions for Degree recipients on the day of ceremony.

These guidelines are designed to ensure the dignity, safety, and smooth conduct of the convocation ceremony.
